This section describes our rental process and includes a price list. We also have a list of some reservations that are already confirmed with Vidanta and available for rental.

Rental Process

The following is a summary of our rental process (v25.05.03):

  1. If Guest would like to proceed, we create a Rental Order and send them a Square Estimate that captures the details of the request and the rental amount.

  2. After Guest accepts that Estimate, we send a similar Estimate to one of our Members for them to accept. They call Vidanta to determine availability.

  3. If available, we send Guest an Invoice to collect a refundable deposit, typically $100 per reservation. We also send Guest a Contract for online signature.

  4. Member calls Vidanta Reservations to confirm and pay for a reservation on Guest's behalf. If no longer available, we pursue desired alternatives or refund the deposit.

  5. Once a reservation is confirmed by Member, the deposit is non-refundable. We send Guest a cancellation/refund schedule and send Member a payment schedule. Guest has 15 days to pay the balance and return the signed Contract.

  6. Once paid, Guest completes an online form to provide a name to add to the reservation and specify any special requests or optional add-ons. We invoice Guest for any selected add-ons, if applicable.

  7. We create an account for Guest on our web site with access to all of their documentation.

  8. Member adds Guest name to reservation and, after receipt of supplemental payment from Guest, also adds any selected optional add-ons, if applicable.

  9. We send a Guest Letter to Member for signature authorizing Guest's stay. We forward that document along with an updated Reservation Confirmation to Guest.

For rentals that are booked less than 6 months prior to the check-in date, the above process is compressed somewhat to accommodate the shorter time frame. All of these details are specified in the Rental Terms and Conditions document that we send to you.
